RMA & Warranty

All VDS Rail products and components are warranted against defects in design, materials workmanship for a period defined in General Terms & Conditions of Sales unless otherwise stipulated in the offer, contract, or order acceptance. If a product should fail within the specific warranty time, the product can be either: 

  • Repaired 
  • Replaced with a new unit

Follow these simple steps to get your product repaired.  


When we receive faulty items, we send to our Customers a detailed failure analysis, including the expected repair duration and a cost estimate (in case of expired warranty). 

The customer is responsible for packaging an RMA product in such a way that no additional damage occurs during normal shipping and handling. For RMA warranty repairs, the return fee to VDS Rail repair facility will be at the customer’s expense and VDS Rail will cover the one-way cost for shipping the goods to the customer after the repair is complete. VDS Rail reserves the right to use the most economical shipping method available. For out of warranty replacements, all shipping costs will be at the customer's expense.

In case the products are out of the EU, VDS Rail strongly suggests to ship the goods as temporary importation to reduce the total shipping costs (transport, Customs clearance, etc.).   

  • The returned package may be delayed or refused by Customs in case of any insufficient shipping information or document. Therefore, the package must include the invoice and thetemporary exportation documentation.
  • Returned products must be packed in their original packaging or equivalent protective package material to ensure that they arrive damage-free. The customer is responsible for the proper packaging of items for return. All warranties are void on items that are insufficiently or improperly packed.
  • Returned packages should be insured. VDS Rail will not be held responsible for any loss or damage to uninsured goods returned. 
  • Should the package delivered back to the customer by the carrier be visibly damaged, it can be refused and a note made on the carrier's delivery record. VDS Rail must be notified immediately, so that a claim can be filed with the carrier.
  • If a damaged package is accepted, this must be noted on the carrier's delivery record and the packaging must be kept for inspection and/or eventual pick-up by the carrier or VDS Rail. Failure to observe these procedures will assume that the customer has accepted the package to their satisfaction.

Service charge

1. Service charge for In-Warranty 

 For a warranty repair, there is no additional charge at the customer’s expense except a one-way shipping cost that is borne by the customer or testing costs in case the material is not faulty. In the latter case return material shipping costs will be added.

 2. Service charge for Out-of-Warranty

Out of warranty repair charges are dependent on component cost and labour time.


  •   For out-of-warranty products VDS Rail will issue a quotation after diagnosing the problem. Before out-of-warranty repairs are commenced, VDS Rail will wait the formal repair order from the customer.
  • No action will be taken beforetherepair order is received or the confirmation of permission to repair being received. A formal invoice will be issued when the repair is done.
